Coalition Capital Management is looking for a Virtual Assistant. This role will see you working closely with the co-founder of a boutique investment firm assisting with an interesting blend of responsibilities. You will work a guaranteed 15 hours per week on an ongoing basis in a fully remote role. The Role This is far from a traditional VA role with a lot more responsibility for marketing and project management. We are looking for an incredibly tech-savvy VA who can utilise a range of software to work efficiently and is able to pick up new technology quickly. The co-founder requires someone who can take ownership of projects and see things through to completion in a timely and efficient manner. This is an exciting time of growth for the business. Key responsibilities include: • Diary management and scheduling • Initiating and managing projects (e.g. new website, CRM projects) • Assisting with email campaigns • Organising webinars and events - Admin and other secretarial/online support • Assisting with social media strategy • Research and preparation for proposals • Schedule Appointments • Inbound and outbound calls for admin functions • Organizing weekly data/reports using Microsoft word and spreadsheets, Powerpoint) • Social Media managing (Instagram, Twitter, Telegram, Discord, Reddit, Facebook etc.... • Call up and organize agenda for the day • Signing up for different internet accounts as needed (Gmail accounts, Ad sites and posting advertisements sites, • Researched articles and other materials as needed for the newsletter • Compiling expenses, electronic filing and reporting The Candidate We are looking for an experienced candidate who can work well autonomously and manage their time effectively. Experience in the start-up or building phase of a business is highly desirable. This role is only suitable for candidates looking for a long-term commitment (minimum 12 months). Key skills are: • High attention to detail • Tech-savvy - advanced skills in full MS Office suite plus exposure to marketing tools and programmes • Ability to use common sense and best judgement in business scenarios • Excellent follow-up and able to respond quickly • Marketing and/or project management experience Responsibilities for the position of Virtual Executive Assistant PA • Organising and maintaining client diaries, coordinating appointments, booking restaurants, conference calls etc. Keeping diary entries up to date with full and accurate information including notes relating to each meeting/call • Reconfirming meetings with other parties • Arranging and reconfirming complex client travel, visas and accommodation • Setting up Zoom and Teams meetings • Contacts database management • Email/inbox management/filing • Assisting with expense claims and board/consultancy fee invoicing • Updating biographies • Liaising with organisers at conferences and events for speaking engagements • Other professional and personal tasks as and when requested by clients • The ideal candidate will be a flexible, self-motivated, highly organised, multi-tasker with the ability to work effectively under pressure • Excellent communication skills both written and spoken are a must along with exceptional attention to detail, a mature attitude and a proactive and positive approach to working Benefits include bonus, private healthcare and above-average annual leave entitlement Apply now to be considered for this role.
